1. Olympus digital voice recorders

If you are in New Zealand and would like to buy an Olympus digital voice recorder, please phone 09 379 3074 or email info@dictation.co.nz. Outside New Zealand, please refer to your Olympus retailer.

2. Sending audio files to us for transcription

If you record to a voice recorder, you should consult your recorder manual for the steps involved in downloading audio files from the voice recorder to your PC. The files can then be attached to an email and emailed to us.

3. Receiving your documents back from us after transcription

We can email your documents back to you as attachments - you then simply open the document in Microsoft Word, make any amendments that you wish to make and then print it out.

4. Frequently asked questions

How is confidentiality maintained?"

OffsiteCentral follows stringent procedures to protect your confidential information. Our Confidentiality Undertaking to Clients is available online. Employee and contractor contractual undertakings are available for inspection.

"Can I use the service on a casual basis only?"

Yes. After registering online, use the service to suit you, six times a day or six times a year. No registration or minimum usage fees apply.

"How is payment made?"

Clients are invoiced fortnightly or monthly. Payment is due within ten working days. Payment may be made by direct bank credit or by cheque.

"Does OffsiteCentral accept files recorded on non-Olympus digital voice recorders?"

Yes. Dictaphones produce compressed "TrueSpeech WAV" files which are small and quick to upload. If you are recording to another format we can advise separately.

"Can I test OffsiteCentral's services for myself?"

Yes. A free trial is available. We will transcribe up to 30 minutes of digital dictation free of charge (or two transcriber hours of multi-speaker recording) so you can assess the service.

"Can OffsiteCentral use my own templates?'

Yes. Fax or email your templates and house style instructions to us and when you send your dictation advise us which template we should use. We will retain your instructions on record for future use.

"Does OffsiteCentral accept micro, mini or standard cassette tapes?"

Our systems are geared for the processing of digital files. However, advise us of your requirements and we will let you know if we can help. Normal turnaround times may not apply when transcribing analogue tapes and postage or courier charges may be incurred.

"If one of my documents is particularly urgent, how quickly can it be processed?"

We aim to return documents in under five hours. We cannot guarantee shorter turnaround but make every effort to satisfy your requirements. If you are batch sending files, indicate those particularly urgent and we will attend to them first.

"What if I'm not entirely satisfied with the document as returned to me?"

Contact Melanie Bhagat if your document has fallen below our high standards - we will transcribe it again for free, or give you a full refund or credit.
